Compare the agreement with the journey
Collecting a rental car turns a booking into a particular vehicle and a particular agreement. Compare the collection and return locations, dates, and times with your confirmation. Ask about an altered vehicle category before accepting the key. A different model can change luggage arrangements, parking at the accommodation, or the suitability of a planned drive through a compact old town.
If you both intend to drive, settle the additional-driver arrangement before departure. SIXT requires an additional driver to be included in the rental agreement and to provide the required documents; its guidance also requires that person to attend in person. Travelling together does not automatically mean both of you may drive the rental. Check the actual offer, including any additional charge, rather than treating a shared trip as shared authorisation to drive.
Inspect in two passes
Start with the overall match. Does the agreement show the correct registration? Do the vehicle and key match what you have been given? Where is the existing damage record? Then walk around the car in a consistent direction. Look at the bodywork, windows, wheels, and visible interior areas without trying to turn the walk into a mechanical inspection. The aim is a clear starting record, rather than diagnosing hidden faults.
One person can read the listed damage while the other locates it on the car. Swap roles when an entry is unclear. A vague description such as a scratch at the back is unhelpful if you can see several separate marks. Ask for a clearer identification and report missing entries through the designated channel while still at the collection location. SIXT explicitly explains how to report existing damage absent from the record.
Photographs need context
Take wider photographs of the vehicle, then a medium-distance image and a closer image of any area in question. An isolated close-up may be difficult to place. Including a door, wheel, or light as a reference makes the location clearer. If lighting prevents useful photographs, ask about a suitable way to document the condition before leaving.
Keep the images with the agreement, existing damage record, and any acknowledgement of a report. Do not rely on pictures remaining complete and at their original quality after being passed through a messaging service. Describe the location and state that you noticed it at collection. A photograph by itself does not establish that the rental company received the report or amended the record.
Fuel, charging, and the first controls
Compare the fuel gauge or battery level with the handover record. SIXT's return arrangements depend on the agreed fuel or charging option, which can be changed by booked extras. Resolve a discrepancy at the beginning. A fuel receipt kept later does not necessarily explain why the level was already different when you collected the vehicle.
Before joining traffic, the driver should adjust the seat and mirrors and identify essential controls. The other traveller can enter the destination and examine the first exit on the map. With an electric car, establish which charging cable is provided and how you will meet the agreed return charge. Avoid leaving an unfamiliar charging process until the final kilometres before the branch.
Prepare the return during collection
Ask for the precise return entrance or save its written directions. An airport branch may use a different vehicle approach from the collection parking area. Establish how to leave the car and key outside staffed hours and what confirmation is available in that situation. These are questions about the particular branch rather than the brand alone.
Picture the last part of the trip with your bags: refuelling or charging, returning the car, then reaching a station or terminal. Allow time for each stage. A short city drive may use little fuel but still involve a lengthy search for a suitable petrol station or charger. Choose the final stop so that you are not forced to choose between the rental deadline and your onward departure.
Resolve uncertainties while the car is still there
If a mark, charge, or vehicle function remains unclear, ask for a specific answer at collection. Note which document has been changed and where you can retrieve it. A verbal reassurance is harder to identify later than an amended record or an acknowledged message.
A simple division of work helps: one person discusses the question while the other compares the document with the car again. Begin the journey once the points relevant to your rental are settled. That leaves the handover record complete and avoids reconstructing a hurried inspection from memory while already on the road.
